Please read these terms before registering your institution, entering athletes or getting a visitor pass. Questions: bitsdubaievents@gmail.com.
1. About these terms
These terms apply to this website and to registering for the BITS Sports Festival (“BSF”), organised by the Sports Department of BITS Pilani, Dubai Campus. By using the website or registering, you agree to them. If you register on behalf of a university or school, you confirm you are authorised to act for it, and these terms bind the institution too. The Privacy Policy explains how we handle personal information.
2. Registering an institution
- Each university or school may have one official registration. Duplicate entries may be removed.
- Use an official email address of the institution. It becomes the institution’s login.
- You are responsible for everything done through your account. Do not share sign-in codes; we will never ask you for one.
- The BSF rulebook for your category forms part of these terms, and the organisers’ reading of it is final.
3. Entering athletes
When you enter a team, your institution confirms that:
- every athlete is a currently enrolled student and is eligible under the rulebook;
- the names, dates of birth, ID numbers and ID photos are genuine and belong to that athlete, and you have their permission (and, for anyone under 18, a parent’s or guardian’s where required) to share them with us;
- the institution supervises its athletes and is responsible for their conduct at the festival.
Details are checked at the venue. Wrong or misleading information can lead to a team being disqualified, a pass being cancelled, or the institution being barred from future editions.
A team can be changed freely while it is a draft. Once finalised, changes need the organisers’ approval.
4. Passes and entry
- Passes are personal and cannot be transferred, sold or copied for someone else.
- Bring the ID used to register; organisers may check it against the pass.
- The organisers may refuse entry, or cancel a pass, if details cannot be verified, the pass has been misused, or for safety reasons.
- Visitor passes are valid only on the days chosen when registering.
5. Acceptable use
When using this website, do not:
- give false information, or pretend to be another person or institution;
- upload someone else’s ID document without their permission, or any document that is forged or altered;
- upload anything unlawful, offensive, or that infringes someone else’s rights;
- try to get into accounts or data that are not yours, test or bypass our security, or overload or disrupt the website;
- copy or harvest data from the website with automated tools.
We may suspend accounts and remove content that breaks these rules, and report serious misuse to the authorities.
6. Content and media
The BSF name, logo, website design, photos and videos belong to BITS Pilani, Dubai Campus or the people who made them. You may share links and posts from our official channels, but not reuse our content commercially without permission.
You keep ownership of anything you upload. You allow us to use it only to run the festival. ID photos are never published.
The festival is a public event that we photograph and film. By attending or competing, you agree that you may appear in photos and videos we publish about BSF. Ask us at bitsdubaievents@gmail.com to take a published photo of you down.
7. Conduct at the festival
Everyone at the venue must follow the rulebook, campus rules and the instructions of organisers and officials. Harassment, violence, discrimination, cheating or damage to property can lead to removal from the venue, disqualification of a team, and being barred from future editions.
8. Changes to the festival
Dates, venues, fixtures and formats may change, for example because of weather, safety or official instructions. We will post changes on this website and email registered institutions about important ones. If parts of the festival are postponed or cancelled, we are not responsible for travel or other costs you incur.
9. Risk and liability
Sport carries a risk of injury. Athletes take part at their own risk, and institutions should make sure their athletes are fit to compete and suitably insured. First aid is available at the venue.
We work to keep the website available and accurate, but provide it “as is”. As far as the law allows, BITS Pilani, Dubai Campus and the BSF organisers are not liable for indirect losses, or for loss or damage to personal belongings at the venue. Nothing in these terms limits liability that cannot be limited by law.
10. Governing law
These terms are governed by the laws of the Emirate of Dubai and the federal laws of the United Arab Emirates. We will try to resolve any problem informally first; please write to bitsdubaievents@gmail.com. Otherwise, the courts of Dubai have jurisdiction.
11. Changes to these terms
We may update these terms. The date at the top shows the latest version. Continuing to use the website after a change means you accept the updated terms.
